Position of
FESTIVAL ADMINISTRATOR
Festival of World Cultures
Arts Office, Dun Laoghaire Rathdown County Council
Contract Term: 18th March to end October (full time 34 weeks)
Rate of payment: €31,200 gross (Pro-rata)
Office Location: Festival Office, Moran Park House, Dun Laoghaire
The candidate will be required to work closely with programming team.
Line Manager: Artistic Director
CANDIDATE REQUIREMENTS
Each candidate must:-

Have an understanding of contemporary arts practice in Ireland with a particular focus on festivals;

Have at least three years relevant experience in arts administration, with:
i. excellent organisational, administrative and IT skills;
ii. excellent communication and interpersonal skills.

Be flexible to attend after hour’s functions as required
The candidate will be required to carry out the following key tasks:
GENERAL ADMINISTRATION / OFFICE MANAGEMENT
• General administration, office management incl. IT and telephones.
• Management of administrative support staff
• Administrative support for Artistic Director, Programme Manager and General Manager
• Supervise the maintenance of databases
• Schedule and minute in house festival meetings in conjunction with Logistics Co-ordinator
HUMAN RESOURCES / STAFF PAYMENTS
• Ensure all short term Festival Staff comply with the County Council’s HR guidelines and management of same
• Ensure compliance of contract staff, with regards to print, PR, design and administration related suppliers
• Administer short term staff contracts and agreements
• Submit short term staff weekly timesheets to HR
• Maintain staff records/files
• Advise employees on work matters including canteens, first aid and social activities
FINANCE
• Ensure all procurement procedures are in accordance with the Local Authorities tender policy
• Supervise the process of invoices and keep an exact record of all payments
• Act as main point of contact with the Council’s finance department with regard to securing Festival purchase orders and related payments
• Administer tax and VAT returns with finance department
BOX OFFICE / MARKETING
• Supervise box office, ticket sales and schedules with box office agent
• Act as sole liaison between festival and box office agent
• Complete box office report
• Assist PR and marketing team with the implementation of the Festival’s marketing plan.
• Co-ordinate Festival documentation photographers
• Assist Marketing Manager with festival surveys
SPONSORSHIP/ MEMBERSHIP
• Assist each department with sponsorship in kind targets
• Manage the Festival’s current patrons and members scheme
